Position Overview:
The ideal candidate will provide high-level administrative support to our principal group. This position will report to 2-3 principals directly. This role involves managing deadlines, billing client files, troubleshooting issues, implementing process improvements, and handling subsidiary tasks as assigned. The successful candidate will possess exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Key Responsibilities:
Administrative Support:
- Provide comprehensive administrative support to the principals, including calendar management, travel arrangements, and meeting coordination.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Â Maintain and organize confidential files and records
Deadline Management:
- Monitor and manage critical deadlines for client filings, ensuring timely submission of all required documentation.
- Coordinate with staff to ensure adherence to internal and external deadlines.
Billing and Client Files:
- Oversee the billing process, including preparing and issuing invoices to clients.
- Maintain accurate and up-to-date client files and records.
Client Issue Resolution:
- Act as a point of contact for clients, addressing and resolving issues in a timely and professional manner.
- Escalate complex issues to the appropriate team members or principal as necessary.
Subsidiary Tasks:
- Assist with special projects and initiatives as assigned by the principals.
- Complete mundane tasks as requested (for instance, coffee)
- Support the planning and execution of principal events and activities.
Event Planning and Coordination:
- Plan and coordinate internal and external events for principals, such as client meetings and training sessions.
- Manage logistics for events, including venue booking, catering, and technical requirements.
Document Management:
- Develop and maintain filing systems to ensure efficient retrieval of information.
- Ensure proper documentation and archiving of client files and firm records.
Research and Reporting:
- Conduct research and gather information for principal projects and presentations.
- Prepare and compile reports, dashboards, and analytical summaries as required by the principal team.
Support for Principals:
- Provide tailored support to principals, including handling confidential information and facilitating principal communications.
- Coordinate complex travel itineraries and manage principal expenses
- Complete person errands and tasks as assigned
Technology and Tools Management:
- Utilize firm-specific software and tools for project management, document collaboration, and communication.
- Troubleshoot basic technical issues and liaise with IT support as necessary.
Qualifications:
- Bachelor’s degree or diploma in business administration, accounting, or a related field considered an asset.
- Experience as an executive assistant or in a similar administrative role, preferably in an accounting or professional services firm, considered an asset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Problem-solving skills with a proactive approach to identifying and addressing issues.
- High level of attention to detail and accuracy.
This position will remain open for a minimum of 5 business days (December 20, 2024) and will remain open until a suitable candidate is found.
